Who We're Looking For

We are seeking a motivated and detail-oriented Executive Assistant who is passionate about creating clarity, reducing friction, improving communication, protecting time and energy, and increasing operational efficiency for executive leaders. Full Time Remote Position. Loves this type of work. Exhibits excellent people skills, integrity, and attention to detail, as well as a proactive mindset. The position requires committing to 8 hours a day, 5 days a week, working during night shifts from 9:00 PM - 6:00 AM Philippine Time (Converts to 8:00 AM - 5:00 PM CST) because our clients are in the US.


Responsibilities:

  • Manage W2 and 1099 payroll processing accurately and on schedule using Gusto.
  • Oversee business banking operations, balance tracking, and transaction categorization using Mercury.
  • Execute and reconcile international contractor and vendor payments via Wise.
  • Generate, send, and track client invoices using Bonsai to maintain healthy cash flow and receivables.
  • Maintain and update profitability tracking spreadsheets to provide leadership with clear financial visibility.
  • Navigate and manage complex vendor portals, ensuring timely billing, renewals, and compliance.
  • Build, organize, and optimize internal operational workflows and financial documentation systems.
  • Conduct regular audits of financial records and operational procedures to ensure accuracy and compliance.


Skills and Requirements

  • Background: Proven experience in accounting, bookkeeping, or operations management.
  • Key Traits: High attention to detail, extremely competent with money, and comfortable building and organizing complex systems.
  • Technical Proficiency: Hands-on experience with Gusto (W2 & 1099 payroll), Mercury (business banking), Wise (international payments), Bonsai (generating invoices), spreadsheets (profitability tracking), and complex vendor portals.
  • Exceptional organizational and problem-solving skills with an ability to manage multiple financial timelines.
  • Strong written and verbal communication skills for vendor and internal team coordination.
  • High level of discretion, integrity, and trustworthiness when handling sensitive financial data.
